Statement Templates

You can create templates that autofill the filters available on the Billing: Statements page. These filters determine which patients receive a statement.

To navigate to Administration: Statement Templates

  1. Click Admin.
  2. Click Statement Templates.

 

Create a Template

  1. Click New Statement Template.

Options to edit , copy , and delete  are available.

  1. Name the Template.
  2. Select the Statement Formatting options.
    1. Select the Rendering ProvidersAll Providers or Selected Provider if you want to choose which provider you want to generate statements for. 
    2. Select the date range for Date of Service (if you selected Selected Provider).
    3. Select the Statement Location (if you selected Selected Provider).
    4. Select the PatientsAll Patients or Selected Patient(s). Select Patient Search to search for the patients you want to send statements to or select Patient Range to choose the alphabetical range by the patients' last names.
    5. Select the A/R Aging. This filter limits the statements to balances in the selected aging bucket.
    6. Select A/R Balances
    • All Balances greater than $0.00: Limits the statements to those patients with at least a $0.01 balance.
    • All Balances – including zero-dollar balances: Insurance charges that have no patient responsibility. All patients who have a patient responsibility, even if the balance is now $0.00, receives a statement.
    • Min/Max Balance: Type a customized minimum balance and/or maximum balance to determine which patients receive a statement.
    1. Select the Sort By filter, which determines how the statements gets sorted.
    2. If you have a default Standard Message in Administration: Statement Messages, that message displays here. You can change the standard message for each new template.
    3. Select whether to include A/R Aging Messages: A/R aging messages are created on the Administration: Statement Messages page. Select Include or Exclude.
    4. Select the Statement Format:
      • PAPER-ELECTRONIC: You must be set up for Electronic Statements in order to transmit statements electronically to our third-party vendor who prints and mails the statements to patients on your behalf.
      • PAPER: You print the statements (from a PDF file) to mail to patients.

 

  1. You can skip generating statements for a selected number of days. Under Statement Options, select the Skip if generated in last x days check box and type the number of days.
  2. Select the Scheduling Options.
    1. To generate statements on a schedule, select the Generate statements using this template on a schedule check box and select a Recurring Option.
    2. Select any additional options.
  3. Click Save Template.

You can customize the standard and AR aging messages that appear on the patient statements. AR aging messages are based on the how many days a payment is past due.

To navigate to Administration: Statement Messages

  1. Click Admin.
  2. Click Statement Messages.

 

Create Messages

  1. Type a Standard Message.

This default message appears in all patient statements. The next four messages are AR aging messages.

  1. ​Type a customized message for each AR aging bucket.
  2. Click Save Message.
