Types of Calendar Appointment

One of the first things that you need to set up when you have a new In Touch Biller PRO account is creating your own Calendar Appointment Types.

Go to the Admin section and click on the Calendar Appointment Types

  • From the menu bar, click Admin and then click Calendar Appointment Types.

  • Select an Appointment Type from the drop-down menu.
  • Assign a time length for the appointment.
  • Color Code (optional): Click into the color code box, which is black by default. Select the desired general color and then refine the color as needed. When you are done, click OK.

Note: Upon navigating to this page, you will see several preloaded options for appointments. All appointment lengths must be in minutes. Any appointment type may be used multiple times as long as the length of time differs. Each appointment type also has the option to add a color code for easy recognition while viewing the schedule in the Calendar view.

Create Your Own Appointment Type Descriptions

  • Customize Appointment Types (optional): Click Add/Edit Names.
  • Enter the desired appointment type and then click Add.

For general appointments (non-patient appointment e.g.  Meetings, lunch, vacation etc.) always use the word BLOCK prior to the description.

Once you have added your own descriptions, it will be available on the drop-down menu for you to select and set up under the calendar appointment types page.

Select the appointment type that you want to set up, then add the duration for that appointment type and assign a color.

You have the option to use all appointment types for all locations or specify which location you want it to be used.

  • Indicate appointments available for each location (optional). Before doing so, deselect the All appointment types are used at ALL locations checkbox then click on Select Locations.
  • Block appointments are used for any appointment that does not involve a patient (e.g., blocked time for lunch or meetings).
  • Recommended block lengths: 30 minutes, 60 minutes, 240 minutes, and 480 minutes.
  • The description for blocked appointments may be changed at any time.
