Tasks and Messages Features

This help document will focus on the tasks and messages section. You can send messages from one user ID to another for interoffice communication. Likewise, you can send tasks from one user ID to another to inform someone that a task must be completed.

 

To navigate to Tasks & Messages

Click Tasks & Messages from the toolbar.

Message Functionality

  • Create, view or work a Message
  • Create, view, work a Task
  • Create a Chart Note or a Chart Alert

 

Creating New Message

  • Click on New Tasks & Messages
  1. Choose Staff Message
  2. Add Recipient from the list ( you can also create a Private Group for bulk messaging)
  3. Click DONE

4. Select level of Priority (Default to Normal)

5. Select email type

6. Type in your Email subject and message. Subject should not exceed 200 characters. 

7. To send an email notification (optional).

8. To be notified upon task completion (optional).

9. Click on Save to send your message. 

 

To Access Your Messages:

1. Select Staff Messages.
2. You can view either message in the inbox or sent messages. Just select ‘inbox’ or ‘sent’ based on your preference.
3. Filter options by priority and status.
4. Filter options based on date range and 30-60-90 day view.
5. Action panel: Search, Mark New, Mark Viewed, Delete
6. Click on the message subject to view the content of the message (see Viewing the Message on next slide)

 

Viewing a Message:

Scroll down the bottom to view the message.

Action items:
1. Forward
2. Reply
3. Delete

Attachments:
4. Click on the chart # to take you to take you to the Patient Chart in In Touch Biller Pro.
5. Click on Task # to view pending tasks for the patient. 

6. Close the message

 

Tasks Functions: 

  • Start a new task
  • Create, view, accept or forward a task
  • Marking task complete

 

To Access Tasks: 

  1. Select Tasks

  3.  Filter options by priority and status.
  4. Filter options based on date range and 30-60-90 day view.
  5. Search for tasks
  6.  Click on the task type to view the task (see Viewing the Task on next slide)

1. Accept Task
2. Reject Task
3. Forward Task
4. Edit Task
5. Delete Task

Attachments:

7. Close the task

For Accepted Tasks:

Action items:
1. Mark Complete
2. Mark Complete and Delete
3. Forward
4. Edit
5. Delete

7. Close the task

 

Steps For Setting Up a Task:

  1. Determine if it is task or staff message
  2. Add recipient by selecting the name.
  3. Select Task Type.
  4. Set priority level.
  5. Set Due Date.
  6. Set if email notification will be sent.
  7. Set if notification is needed if task is completed.
  8. Assign the patient (optional)
  9. Add subject.
  10. Add content/instruction
  11. Select Save
